General function:
The MSS will report to the Head of Operations, the main function being maintenance of the mass spectrometry study work schedules to meet sponsor deadlines and maximise revenue generation by :-
- Generating detailed short-term schedules to optimise staff and equipment utilization.
- Creating outline longer-term schedules to identify potential capacity issues.
- Liaising and building strong relationships with Analytical Department Heads, Study Managers and Analysts to ascertain the necessary information, examining all documentation including quotations, proposals, Study Plans and protocols, email correspondence, including schedules of planned sample shipments, data deadlines, etc. to generate the schedules
- Assisting with financial aspects of studies, e.g. revenue recognition, out of scope work identification, proposal/quotation generation including assistance with re-quotes.
Specific Duties
The MSS will :-
- Prepare a detailed rolling 5-day schedule of MS work by liaising with Study Managers and Development Analysts, and the analytical department Heads to meet sponsor deadlines and optimise revenue generation. This will involve where necessary, sponsor emails, study proposals/quotes, protocols and Study Plans to determine expected sample receipt dates, likely sample numbers, and data-required-by dates for sponsor samples.
- Assign and ensure the optimal use of MS instrumentation and analytical personnel perform the scheduled analysis.
- Coordinate with the analytical department Heads to maintain awareness of staff availability and align expectations and priorities.
- Update the short-term schedule daily to incorporate any changes due to sample shipment changes, instrumentation issues, capacity issues, etc.
- Alert the analytical department Heads and Study Managers when potential issues are apparent due to resource clashes -particularly shortage of specific MS instrumentation and suitable experienced analysts, and will initiate prompt appropriate remedial actions.
- Maintain close familiarity with individual studies in the short -term schedule to understand the status of Study Plans, likelihood of receiving study samples or study-specific consumables on time which if delayed will impact the schedule and may necessitate revision to optimise utilisation of machinery and personnel.
- Liaise with the MS instrument maintenance expert to stay aware of instrument issues and preventative maintenance schedules.
- Maintain close awareness of the working status of the MS instruments and review data with the MS instrument maintenance expert to determine trends and implement corrective and preventative measures where appropriate to maintain maximum efficiency
- Maintain an up to date, longer-term outline schedule by liaising with study managers, the Method Development team and the commercial team
- Advise the Head of Operations, Head of Delivery, Head of Development and study RSs on potential capacity issues.
- Collate daily information on run failures, their causes and remedial action.
- Review data on a regular basis with the Head of Delivery and Head of Operations to determine trends and implement corrective and preventative measures where appropriate.
Additional Duties
- Assist with monthly revenue recognition, especially highlighting out of scope work
- Assist with study revenue reconciliations on conclusion of experimental work
- Assist the commercial team with proposals, quotations and revising quotes, as
appropriate
Qualifications and experience
- Educated to degree level (preferably in a relevant scientific subject)
- Highly organized
- A minimum of three years’ experience in an analytical laboratory (preferably involving mass spectrometry with GLP and/or GCP compliance)
- Computer literate and experienced with Excel
- Proficient in communication
